Privacy Policy for Proof and Pay

Proof and Pay ("the app") is a Shopify app operated by Korvaix ("we", "us"). It lets merchants send a branded proof of made to order work to their customer, collect an approval, and take payment through the merchant's own Shopify store.
This policy explains what information the app handles, why, and what rights you have. It covers both merchants who install the app and their customers who receive proofs.
Information the app collects
From merchants (the store that installs the app):
- Store details provided by Shopify at install: store name, store domain, contact email, country and currency settings.
- Branding you enter in the app: brand name, sender name, reply to email address, business name and business address, logo, banner and colour choices, and links to your website or social profiles.
- Message templates and quote details you write.
About the merchant's customers (entered by the merchant when creating a quote):
- Customer name and email address.
- The quote itself: item title, price, delivery choice, photos of the work, and any captions or messages the merchant writes.
- Actions taken on the proof page: when a proof is viewed, approved, or a change is requested, and when the related Shopify order is paid.
What the app does not collect:
- No payment card details. Payment happens entirely through Shopify's own secure checkout. We never see or store card numbers.
- No customer delivery addresses. Shopify collects those at checkout and they stay in the merchant's Shopify store.
- No tracking cookies, advertising identifiers, or analytics profiles of customers.
How information is used
- To generate and send the branded proof email to the customer, on the merchant's behalf.
- To show the customer their proof and approval page.
- To create the draft order and payment invoice in the merchant's Shopify store after approval.
- To keep the quote's status in step with Shopify (for example marking a quote paid when the order is paid).
We do not sell personal information, use it for advertising, or share it with anyone except the service providers below.
Service providers
The app relies on a small number of providers to work:
- Shopify: the platform the app runs on. Orders, checkout, and payment are handled by Shopify under their own privacy policy.
- Vercel: hosts the application.
- Neon: hosts the application's database.
- Resend (with Amazon Web Services, EU region): delivers the proof emails. The customer's name and email address and the proof content pass through this service to send the message.
- Shopify CDN: photos uploaded for a proof are stored on Shopify's content delivery network.
Data retention and deletion
- Quote records are kept while the merchant's store has the app installed, so quotes and their history remain available to the merchant.
- When a customer requests deletion (or Shopify sends a customer redaction request), we anonymise that customer's name and email on all of their quotes and their activity history.
- When a merchant uninstalls the app, Shopify notifies us and all of the store's data in the app, including branding, templates, quotes and customer details, is permanently deleted.
- Merchants can request a copy or deletion of their data at any time by contacting us.
Data requests and your rights
Depending on where you live (for example under UK and EU GDPR), you may have the right to access, correct, export, or delete personal information. Merchants can contact us directly. Customers should contact the merchant they bought from, and Shopify's data request process will reach us automatically; we also respond to direct requests.

Security
All connections to the app use HTTPS. Access to app data is limited to what the app needs to operate, and we act on Shopify's data deletion webhooks as described above.
Changes to this policy
If this policy changes in a way that matters, we will update this page and the effective date. Continued use of the app after a change means the updated policy applies.
